How much does an AI receptionist cost in Canada?
The short answer: for a Canadian small business in 2026, an AI receptionist costs anywhere from about $25 to $1,500+ a month. Where you land depends on which of three routes you take:
- An off the shelf app: roughly $25 to $450 US a month, depending on call volume.
- Build your own on a voice platform: about $0.07 to $0.15 US per minute, plus your time.
- Done for you: typically from $1,000 a month and up, usually bundled with booking, follow ups and other automation.
For comparison, a full time receptionist in Toronto costs about $43,000 a year, and a live answering service runs a few hundred to over a thousand dollars a month.
We set up AI receptionists for small businesses across the Greater Toronto Area, and "what does it cost?" is the first question every owner asks. The honest answer is that the price tag on the software is rarely the whole story. Below is what each option really costs, what drives the price up, and a worked example for a typical GTA trades business.
The three ways to get an AI receptionist
1. Off the shelf AI receptionist apps
These are ready made services: you sign up, describe your business, forward your calls and you are live the same day. Entry plans are cheap. Comparison sites list plans such as Upfirst at $24.95 US a month for 30 calls (then $1.50 per call) and Rosie at $49 US a month for 250 minutes, with Goodcall and Smith.ai's AI plans in the roughly $60 to $150 US range. Prices change often, so check each vendor's own pricing page.
The catch is how they count. Some bill per minute, some per call, some per unique caller. A plan that looks cheap at 30 calls gets expensive at 300. These apps also do best with simple jobs: answering common questions, taking messages and booking into a standard calendar.
2. Build your own on a voice AI platform
Platforms such as Retell AI let you build a custom voice agent and pay by the minute. Retell's published rates start at about $0.07 US per minute for the voice itself, and realistic totals land around $0.11 to $0.15 per minute once you add the language model, phone line and knowledge base. That is very cheap per call.
What you pay instead is time. Someone has to write the call script, connect your calendar and CRM, test edge cases and fix what goes wrong in the first few weeks. If that is you, budget evenings. If it is a developer, budget their hourly rate.
3. Done for you
Here a firm designs, builds and runs the receptionist for you, usually alongside the work around the call: quote follow ups, reminders, review requests and reporting. Pricing is a monthly fee, typically from about $1,000 to a few thousand dollars a month, sometimes with a setup fee. You are paying for the outcome and for someone else to own the problem when it breaks.
How the options compare
| Option | Typical monthly cost | Best for | Watch out for |
|---|---|---|---|
| Full time receptionist (Toronto) | About $3,600 (≈$43,000 a year) | Walk in businesses that need someone at the desk | Business hours only, sick days, turnover |
| Live answering service | $200 to $600 business hours, $400 to $1,000+ for 24/7 | Message taking with a human voice | Overage of $1.50 to $3.50 a minute, rounding up to the full minute |
| Off the shelf AI app | $25 to $450 US | Low to moderate volume, simple questions and booking | Per call pricing, limited integrations |
| Build your own (voice platform) | $0.07 to $0.15 US per minute + your time | Owners or teams with technical help | Setup and maintenance hours |
| Done for you | From about $1,000+ | Busy owners who want calls, booking and follow up handled end to end | Make sure the contract covers changes and support |
Human cost: Job Bank median of $20/hour for receptionists in the Toronto region × 1,950 hours = $39,000, plus about 10% for employer CPP, EI and vacation pay. Answering service ranges are industry benchmarks, mostly quoted in US dollars.
What drives the price up
- Call volume and call length. The biggest factor for app and platform pricing. Know your monthly calls and average minutes before comparing plans.
- Integrations. Booking into Google Calendar is easy. Booking into Jane, ServiceTitan, Jobber or a custom CRM, or checking real availability, takes more setup.
- Transfers and urgent calls. Rules like "send no heat calls to the owner's cell" or "only book in our service area" add setup work, and they are often what makes the receptionist actually useful.
- Languages. If you serve French speaking or other language callers, confirm the plan supports them well.
- Follow up. A receptionist that only answers is cheaper than one that also texts confirmations, chases quotes and asks for reviews.
Costs people forget
- Exchange rate. Most AI tools price in US dollars.
- Overage. Read what happens after you pass your included calls or minutes.
- Your time. Even "set up in 5 minutes" apps need an hour or two of tuning after real calls come in.
- A missed booking is not free. If the cheapest option fumbles a $600 service call once a month, it was not the cheapest option.
Worked example: a GTA trades business
Take a plumbing company that gets about 300 calls a month at an average of 3 minutes each, so 900 minutes. These are illustrative figures using the ranges above:
| Option | Estimated monthly cost |
|---|---|
| Full time receptionist | About $3,600, business hours only |
| Live answering service at $0.75 to $1.50 a minute | $675 to $1,350 |
| Off the shelf AI app with per call pricing | Roughly $150 to $450 US |
| Build your own at $0.11 to $0.15 a minute | About $100 to $135 US, plus setup time |
| Done for you, including quote follow ups and reminders | From about $1,000+ |
On software cost alone, building your own wins. In practice the right choice depends on what the calls are worth to you and how much of the surrounding work (booking, follow up, chasing quotes) you want off your plate.
Canadian rules to know
- CASL: automated follow up texts are commercial messages. A caller who enquires about your services generally gives implied consent for six months. Ongoing marketing needs clear consent.
- Privacy: if calls are recorded or transcribed, tell callers at the start of the call and only keep what you need.
- Quebec callers: if you serve Quebec, plan for French.
This is general information, not legal advice.
Which option should you pick?
- Under about 100 calls a month and simple questions: try an off the shelf app first.
- Technical, and you enjoy building: a voice platform gives the lowest running cost.
- Busy, high value calls, and you want booking and follow up handled too: done for you pays for itself if it wins one or two extra jobs a month.
At BlueprintBeam Inc we only do the third. We start with a paid audit from $999 that maps how your calls, bookings and follow ups work today, and monthly plans are custom, with the AI receptionist as one part of a wider system. If an app would do the job for you, we will tell you that on the call.

Frequently asked questions
How much does an AI receptionist cost per month in Canada?
Off the shelf AI receptionist apps start around $25 to $50 US a month for low call volumes and usually land between $150 and $450 a month for a busy small business. Building your own on a voice platform costs about $0.07 to $0.15 US per minute plus your setup time. Done for you services that also handle follow ups and booking cost more, typically from $1,000 a month and up.
Is an AI receptionist cheaper than a human receptionist?
Usually, by a wide margin. A full time receptionist in Toronto at the Job Bank median of $20 an hour costs about $39,000 a year in wages, or roughly $43,000 once CPP, EI and vacation pay are added, and covers business hours only. Most AI receptionists cost a small fraction of that and answer around the clock.
Are AI receptionist prices in Canadian dollars?
Most AI receptionist apps and voice platforms price in US dollars, so the Canadian cost moves with the exchange rate. Check the currency on the pricing page before you compare plans.
What extra costs should I watch for?
Per call or per minute overage charges once you pass your plan, setup fees, charges for a new phone number, paid integrations with your calendar or CRM, and the hours it takes you to set up and tune the agent.
Can an AI receptionist send follow up texts in Canada?
Yes, but follow up texts are commercial messages under Canada's Anti-Spam Legislation (CASL). Someone who calls to ask about your services generally gives implied consent for six months, so a follow up about their enquiry is usually fine. Ongoing marketing texts need clear consent. This is general information, not legal advice.
